Update on the Lumos upgrade
Here's an update on our Lumos upgrade, and the consolidation of The
Burrow, Pureblood, and Wolfsbane into Lumos.

Both the upgrade and the consolidation are going well and continue to
be on schedule. We anticipate a re-opening of the Lumos archive by no
later than day-end (GMT) of October 1.

When we do re-open, we will continue to share any further information
about the upgrade and consolidation via announcements on the Lumos home
page, updates to our Lumos Help link, and posts to our LJ and the SH
Yahoo Group.

We appreciate all of your patience during this upgrade!

IMPORTANT: Lumos will be closed for submissions September 26-30
Sycophant Hex will upgrade our existing software beginning 12:01 am GMT September 26, 2008. The first archive to be upgraded will be Lumos.



As part of this process, we will also consolidate The Burrow, Pureblood and Wolfsbane archives into Lumos. Lumos will be closed to new submissions from September 26 through September 30. Additionally, the Burrow, Pureblood and Wolfsbane archives will be permanently closed to new submissions beginning September 26.



Beginning October 1, Lumos will re-open, and will accept The Burrow, Pureblood, and Wolfsbane submissions, along with all general Harry Potter fanfiction. All stories that currently exist in The Burrow, Pureblood and Wolfsbane will be transferred to the Lumos archive by Sycophant Hex staff.



By combining our three smallest archives into Lumos, we will reduce the time and effort needed to sustain our multiple-archive system. Please note that Ashwinder, Occlumency, Eros & Sappho, and Chaos will remain as independent archives.

Thank you for your interest
Thanks to everyone who applied to Sycophant Hex for our recently posted Admin positions. We received applications from several qualified people, which made the final decision very tough. Attention sbcglobal.net users!
Recently, a great deal of correspondence to SH members who have an email address at sbcglobal.net has been either a) bouncing back to the admins, or b) just getting lost in cyber space. This is affecting our communication with authors and new members, and also our ability to answer Help Desk inquiries. If you have an email address with sbcglobal.net, you must ensure that your account will accept email from sycophanthex.com, or must provide us with a working, valid email address using a free, SH-friendly mail system such as gmail. This is especially true in the case of authors, whose submissions may be subject to deletion if we are unable to be in contact. Thanks for your help in this matter!

You May Have Noticed. . .
When reading very recently posted stories, you may have noticed that we have been a bit more relaxed in our posting standards. This has been a deliberate recognition of the evolving nature of Harry Potter fandom. We are in the process of reviewing our current posting standards, and if we decide upon any permanent changes we will be sure to let you know as soon as possible. In the meantime -- as always -- we appreciate your continued support!

Illusions, the SH-affiliated fanart archive, has a new web address! Please change your bookmarks to http://illusions.dragonaries.com/. If you have recently registered under the old shillusions.com site, you may have to re-register at the new site in order to enjoy the full benefits of Illusions, and we apologize for any inconvenience this may cause you. Catching Up
We are slowly but surely catching up in the queues, but we do ask your continued patience. Delays in the Queue
Many of my lovely fellow admins are already in Toronto for Prophecy this weekend, and others (myself included) have internet connection issues, real life commitments or problems, and quite a few other things that are keeping us away from the internet quite a bit more than we'd like. Because of these circumstances, the queues and helpdesk may be a bit slower than usual. We ask that everyone be patient during this hectic week—everything should be back to normal speed once Prophecy is over, though keep in mind that it may take a few days for us to work through the backlog of fic in the queues.

"The Sky is Falling" Festival
In honor of the upcoming release of Harry Potter and the Deathly Hallows this summer, Sycophant Hex would like to invite all authors to participate in our "The Sky Is Falling" Festival. Please do not use a HotMail account when signing up for membership in Sycophant Hex! Throughout each and every day, SH receives a barrage of bounced email from HotMail. From the content of these bounced emails, we can tell that people with Hotmail addresses have attempted to sign up for SH, but Hotmail has bounced emails with the SH passwords they need to sign on. To sign up for SH, please obtain and use an email address from another free service, such as gmail (mail.google.com). We want you to enjoy your experience at SH, but unfortunately a Hotmail address too often prevents it. Thank you!

At this time, we are once again allowing cross-posted stories. To help keep the queues moving quickly and avoid there being a delay in the story being posted on one of the chosen archives, please follow the procedures listed below:

If you are cross-posting a chapter to more than one archive at the same time, please write, "Note to the admins: Chapter is cross-posted to {archive(s)}," as the first line of the story text. We will remove this note before posting the chapter. This will allow us to process the chapter on both archives at the same time.

If you are cross-posting a chapter that was previously posted to another archive, please write, "Note to admins: Chapter is already posted to {archive(s)}." Please also do this for any submissions that were previously posted to Mage and are now being cross-posted to multiple archives.

Move Update


As most of you know, we asked for volunteers over the last couple weeks to help move the reviews from Mage back to the old archives. A handful of volunteers spent countless hours gathering reviews from Mage over the past two weeks, and many more volunteers signed on to help with transferring those reviews onto the old archives. Tonight, just TWO days after they started reposting the reviews, the last one was moved onto Ashwinder. The other archives were completed over the weekend.

The admins at Sycophant Hex can't begin to thank everyone who volunteered their time enough and did such wonderful work. We never could have imagined that everything would go so smoothly or so quickly.



Many, many thanks to Alienor, beaweasley2, BloodyBrilliantRuthie, Celisnebula, D'Arcy, Emigirl, Grainne, im2sleepy2, jynx67, Katherine Rose, ksianna, Lady Whitehart, LadyJaneGrey, lunafish, lux_astraea, Maddy Riddle, melusin, Pennfana, Shalimar1981, Smo, Soul Bound, southern_witch_69, Sylvana, and tinnidawg. You're all just so fabulous, and we're so grateful to you for everything you've done.



Please, everyone, if you know any of these people, take a moment to thank them for all their work. It is because of them that we are able to say, without any doubt, that Sycophant Hex will reopen for submissions a mere three weeks after the decision to move back was made, instead of six weeks or more, which had been our original estimate.



Everything is still right on schedule for the archives to reopen this Saturday, April 7th, at 2:00 p.m. Eastern time. Please remember, in the meantime, that the queues are still closed, and any submissions made before they are reopened may be deleted.



All of the stories and reviews that were to be moved should now be on the traditional Sycophant Hex archives. Please remember that we were only moving chapters and reviews for stories posted or updated since October 3rd, 2006, so reviews made to chapters that have not been updated during that time were not moved and will need to be moved by the author. If you have any questions about how to do this, please feel free to contact us at magemove (at ) gmail (dot) com. If you have or come across a story or review that you believe was missed during the move, please let us know. You can report any and all issues with story transfers here. Someone will be checking the forums daily to ensure that all reported problems are taken care of promptly; we will do our very best to make sure that nothing is left behind on Mage.



We thank you all for your patience during this time of transition and for your constant support of Sycophant Hex. It truly has not gone unnoticed or unappreciated.

Return to Traditional SH
As you may have heard, Sycophant Hex will be returning to this archive system in April 2007. A specific date for the re-opening of this archive will be announced near the end of March.



Please do not submit any stories to this archive until further notice. These archives are not yet open for submissions and anything uploaded here will be automatically deleted. If you wish to submit a story, it must be uploaded to Mage( archive.sycophanthex.com) via the normal channels. All work accepted and posted to Mage will be automatically moved to the appropriate archive on this system before Mage is closed down permanently.



We also need your help. Please check your stories on Mage that were originally posted to the old Sycophant Hex archives before October 3, 2006. Any reviews posted on Mage to these stories will not be moved, so please copy and save any reviews you wish to keep, so you can move them back to the story they belong to on the old archives once we reopen them. Please note that if you have added chapters or stories since October, we will move those reviews for you, but all other reviews will NOT be moved and will no longer be available after Mage shuts down in April.

Mage Update/Closing Archives
As many of you may have noticed, multiple Sycophant Hex archives have been closed for the time being so that they can be moved onto the Mage program. For updates on this process, please visit our LiveJournal or the Mage threads on our forums. Any questions should be posted in the forums, though please bear in mind that we are all concentrating on the move to Mage at the moment, so we may not be available to answer right away.

Attention All SH Authors
I just tested out all the symbols that authors might use in titles (story title and chapter title) and the only character/symbol that is being changed from this time forward are the { } brackets.



All other characters/symbols are alright to use, and they are the following:



/ \ ~ ! ? : ; & % $ # , ( ) ^ @ * [ ] ` (this symbol is on the same key as ~ (at least on my keyboard))

SH Expenses
Please keep us in mind. . . In addition to our usual server costs, SH has been paying for extra programming costs. Currently, our programmer is hard at work on the merge program that will move the SH archives onto Mage. With that in mind, we are hoping that you will help us out just a little. We do know that many of you recently traveled to Las Vegas for Lumos and thus things may be a bit tight right now budget-wise. But if you can even spare just a couple of dollars towards SH, even the smallest of donations would be greatly appreciated. As always, thank you for your continued support!

Attention All Sycophant Hex Members
It has come to our attention that AOL and Hotmail email accounts are no longer able to receive emails from sycophanthex.com addresses. Due to this problem, we recommend that all Sycophant Hex members use other email providers; this is especially important for authors, as you may be unable to receive letters regarding your stories if you have an AOL or Hotmail email address listed in your profile.
